About the Role
We’re looking for a highly organized, resourceful, and proactive Executive Assistant to provide seamless support to our senior leadership team. This role is ideal for someone who thrives in a fast-moving, entrepreneurial environment, anticipates needs before they arise, and keeps operations running smoothly behind the scenes. You’ll play a key role in helping our executives stay focused on strategy and execution while ensuring day-to-day priorities are managed efficiently.
Key Responsibilities:
- Calendar & Meeting Management: Own and manage complex calendars, managing priorities, and anticipate scheduling needs for the CRO, COO, and CTO.
- Travel Coordination: Arrange and manage domestic and international travel, including itineraries, logistics, and on-the-go changes.
- Meeting Preparation: Support meeting execution by preparing agendas, assembling materials, and ensuring follow-ups are captured and completed.
- Communications & Documentation: Draft, format, and edit correspondence, presentations, and reports with attention to tone, accuracy, and clarity.
- Operational Support: Track action items, deadlines, and priorities to ensure follow-through and accountability across initiatives.
- Cross-Team Coordination: Act as a central point of contact between executives and internal/external stakeholders, demonstrating professionalism and sound judgment in every interaction.
- Expense & Budget Management: Prepare, submit, and reconcile expense reports and assist with budget tracking as needed.
- Project & Event Logistics: Provide administrative and logistical support for leadership meetings, team offsites, and company-wide events.
- Confidentiality: Handle sensitive information with discretion and maintain a high level of trust and integrity.
Required Qualifications:
- 4–7 years of experience supporting C-suite executives, preferably in a startup, technology, or financial services environment.
- Exceptional organizational and multitasking skills, with strong attention to detail.
- Excellent written and verbal communication; able to draft polished correspondence and communicate effectively across all levels.
- Proficiency in Microsoft Office Suite and familiarity with modern collaboration tools (Zoom, Slack, Concur, Notion, or similar).
- A proactive, adaptable, and solution-oriented approach- you take initiative and stay two steps ahead.
- Comfort operating in a dynamic, fast-paced environment with shifting priorities.
- A positive, professional demeanor and a “no task too small” mindset.
