We are looking for an experienced executive assistant (“EA”) who can provide meticulous administrative support to our COO and CEO in a fast-paced and dynamic environment. The role reports to our COO, but it frequently interacts with the rest of the executive team and other leaders across the company.

The ideal candidate is organized, detail oriented, flexible, diligent, patient, and thorough. They must flawlessly handle the typical tasks of an executive assistant: scheduling meetings, drafting emails, and supporting executives’ day to day operations. The candidate will do so while maintaining a positive attitude, serving as a regular confidant and occasional advisor to the executives, and tactfully supporting the executives as an accountability partner. They will be exposed to sensitive information and situations regularly, and they must handle them with professionalism, discretion, and courtesy.

The EA expands our executives’ ability to lead the company by freeing them of day to day minutia, creating more capacity for deep & impactful work; they are therefore an essential contributor to our success.

We are headquartered in SoHo in New York City, and this role will be in-person and NYC based.

Responsibilities

  • Manage the executives’ calendar. Schedule meetings, appointments, and events; tactfully triage meeting requests based on priority; collect agenda items and make executives aware of prep materials; arrange travel in accordance with executives’ preferences; keep executives on time throughout the day.
  • Provide administrative support. Process reimbursements; take minutes during occasional meetings; arrange catering or other logistics; welcome guests to the office.
  • Manage COO’s email inbox. Triage emails for the COO in collaboration with partners; draft replies; make COO aware of critical asks or information.
  • Serve as an accountability partner. Help executives prioritize, especially as it relates to calendar; tactfully remind executives of various responsibilities.
  • Be a reliable confidant and occasional advisor. Give executives candid feedback when requested; be discreet with confidential information obtained through normal responsibilities; look out for what can be better, and take action to make things better when appropriate, including partners when needed.
  • Occasionally (<=5% of time) support on personal life miscellania. Arrange and receive lunch everyday; help with occasional errands (e.g., ship a package, meet a worker @ apartment).
  • As time allows, take on small to medium impact projects, in service of the Exec or Exec’s team.

Requirements

  • 5+ years of experience in a similar role.
  • Superior organizational skills.
  • Impeccable attention to detail, and a natural inclination to thoroughness.
  • Strong problem-solving abilities, and a high-agency attitude to correct anything that seems off.
  • Excellent interpersonal skills and the ability to work well with all levels of internal and external associates.
  • A friendly, flexible, positive attitude, and a cheerful willingness to do any task.
  • Ability to handle sensitive information with discretion.
  • Strong written communication skills.

Nice to haves

  • A general proficiency with modern technology.
  • Willingness to respond to time sensitive items as they arise, may occasionally be on nights or weekends for travel or cancellations
