To support the launch and growth of our activities in Djamo Entities, we are looking for an Office and Procurement Manager.
Your Role
Reporting to the Head of People, the Office & Procurement Manager is responsible for overseeing office operations, facilities management, procurement activities, and administrative services across all Djamo entities and offices in Côte d'Ivoire and Senegal.
The role ensures that our teams operate in safe, efficient, compliant, and cost-effective environments while delivering an exceptional employee experience. The Office & Procurement Manager owns office budgets, vendor relationships, purchasing processes, facilities operations, and executive support activities.
The position manages a distributed team of Office Assistants and acts as a strategic business partner to Finance, Legal, IT, Security, and People teams.

Your responsibilities include :
Office Operations & Facilities Management
- Ensure the smooth operation of all Djamo offices across Côte d'Ivoire and Senegal.
- Develop and maintain workplace standards that promote safety, efficiency, compliance, and employee wellbeing.
- Oversee maintenance, repairs, cleaning, security, utilities, catering, and facility-related services.
- Manage office expansion, relocation, renovation, and workspace optimization projects.
- Ensure compliance with workplace safety, security, PCI-DSS, and company standards.
- Act as the primary point of contact for facility-related incidents and business continuity matters.
Procurement & Vendor Management
- Own and continuously improve Djamo's procurement processes and controls.
- Source, evaluate, negotiate, and manage relationships with suppliers and service providers.
- Lead contract negotiations to optimize pricing, service quality, and business terms.
- Monitor vendor performance through service-level agreements and regular reviews.
- Ensure procurement activities comply with internal controls and approval processes.
- Identify opportunities for cost reduction and operational efficiencies without compromising quality.
- Maintain an approved vendor database and procurement documentation.
Budget Management & Cost Control
- Prepare and manage annual office and facilities budgets across all Djamo entities.
- Monitor budget utilization and forecast future expenditures.
- Produce monthly budget variance analyses and cost optimization recommendations.
- Ensure all office-related invoices, purchase orders, and payments are processed accurately and on time.
- Partner with Finance to improve financial visibility and spending controls.
- Drive initiatives aimed at reducing operational costs while improving service quality.
Team Leadership
- Manage, coach, and develop Office Assistants in Côte d'Ivoire and Senegal.
- Establish clear goals, priorities, and performance expectations.
- Build scalable office management processes that can support Djamo's continued growth.
- Foster a culture of accountability, service excellence, and continuous improvement.
Executive & Administrative Support
- Coordinate executive travel, accommodations, logistics, and expense management.
- Support senior leadership with scheduling, visitor coordination, and administrative requests.
- Organize company meetings, executive visits, board-related logistics, and special events.
- Prepare presentations, reports, communications, and administrative documentation when required.
- Employee Experience & Workplace Culture
- Partner with People and the Social Committee to organize company events, celebrations, wellness initiatives, and employee engagement activities.
- Ensure new hires experience a smooth and welcoming onboarding process.
- Continuously improve workplace services and employee satisfaction across all offices.
Reporting & Governance
- Produce regular reporting on procurement activities, vendor performance, office expenditures, facilities operations, and workplace metrics.
- Maintain accurate records of contracts, leases, service agreements, and procurement activities.
- Support audits and compliance reviews related to facilities, procurement, and workplace operations.
- Any other related activities.
Your profile
- Bachelor's degree in Business Administration, Supply Chain, Procurement, Operations Management, Hospitality Management, or a related field.
- 5+ years of experience in office management, procurement, facilities management, workplace operations, or administrative leadership.
- Previous experience managing budgets and vendor negotiations.
- Experience managing multiple locations and cross-border operations is highly desirable.
- Demonstrated people management experience.
- Strong analytical and financial acumen.
- Excellent negotiation and contract management skills.
- Strong project management and organizational abilities.
- Ability to manage multiple priorities in a fast-growing environment.
- Excellent written and verbal communication skills in French.
- Professional working proficiency in English.
- Proficiency with Google Workspace, Excel, procurement systems, and budgeting tools.
