As the Office Coordinator in our fast-paced, dynamic New York City headquarters, you’ll focus on ensuring our day-to-day office needs are met, while creating a positive, welcoming, and inclusive experience for every person that walks through our doors.

You’ll provide hands-on support to foster our existing local and global communities, through celebrating moments that matter, enabling in-person team gatherings, collaborating with our cross-functional partners, and ensuring our office runs smoothly and intentionally.

In this role, you’ll:

  • Maintain and enhance day-to-day operations across the office, including ordering and managing inventory of snacks, drinks, and supplies, lunch provisioning, repairs and maintenance, guest registrations, mail and package distribution, answering general phone calls, keeping the office and conference rooms tidy and clean, and other various operations activities

  • Help coordinate in-office events and company meetings, onsite team meetings, client and employee visitors, in partnership with our Executive Assistants, business leaders, internal communications, and other stakeholders

  • Communicate regularly with our office community regarding ongoing activities, events, and updates so that they are up-to-date and aware

  • Liaise and build relationships with building staff regarding office operations, including repairs, maintenance, vendors, visitors, and others

  • Work cross-functionally with other teams, including Business Technology, Security, and Accounting, to ensure smooth office operations

  • Plan, communicate, and execute on internal social events, including set up, coordination with vendors, break down, etc.

  • Manage employee inquiries and requests via Jira management system

  • Manage tickets and requests from our subtenants through to our building management team

  • Support team community activities, including volunteering events, Employee Resource Group programs, and other company programming; promote and support virtual activities to engage our entire workforce community

  • Manage our NYC office budget in alignment with team goals and annual planning

We’re looking for candidates who have:

  • Previous experience in an EA or Office coordination/management role

  • A friendly and professional demeanor, taking pride in fostering a fun and exciting office environment

  • The ability to multi-task and be resourceful, coordinating several ongoing activities or projects across a week while also managing day-to-day operations

  • An eye for detail and organization, who can self-start projects as well as work with others on a well-rounded experience

  • Excellent verbal and written communication skills across various audiences, with a simple and clear approach, who is building their executive presence, alongside an interest in change management and documentation

  • The ability to be proactive, assertive, responsive, and to know when to bring in others instead of self-solving

Nice to have experience:

  • Prior experience utilizing Jira, GSuite, Workday, OpenPath, Prism/PassagePoint
